Description:

We are a seeking a highly organized and detail-oriented Research Administrative Assistant to support CBRC's research team with its new and ongoing 2SLGBTQQIA+ research projects, and operational aspects of the research program. This position will coordinate administrative processes to support individual research projects (collecting and organizing required documents for various submissions including ethics and funders), the research team (setting up and documenting team meetings, assisting with reporting activities), and external research collaborations (including working with other researchers and organizations).

This position will be a core member of the CBRC research team, working closely with other staff at CBRC, and supporting working relationships with external affiliate researchers and community partner organizations across Canada. Our team collaborates frequently with the Community-based Health Equity Research Group at the University of Victoria and we encourage applicants to review their website.

Primary Job Responsibilities:

Approximate percentages of time spent on each activity (averaged over 1 month) are provided as an estimate only, but this may develop over time.

  • Coordinate administrative processes to support individual research projects and initiatives (e.g. maintain core project info and track progress on deliverables; prepare and organize required documents for grant applications, ethics submissions, and grant reporting; assist with project-specific meetings and events) (40%).
  • Provide central support to the research team (e.g. establish and update file systems; support staff in compiling and submitting expenses for bookkeeping and financial record keeping; assist in hiring processes, onboarding, and ongoing engagement of new research team members including community advisors and peer researchers; set up and take minutes for team meetings) (35%).
  • Support external research collaborations (e.g. maintain core documents such as the research principles, partnership documents and agreements; set up and take minutes for collaborative meetings such as the Research Working Group; support logistics for research program events and initiatives) (15%).
  • Collaborate with CBRC staff, and participate in team meetings and training (10%).

Minimum Requirements:

  • 1-2 years of experience in administration, operations or similar tasks in a community-based organization, academic/research organization, or in government.
  • 1-2 years of experience supporting team meetings and team processes.
  • Intermediate knowledge of equity, social justice, decolonization, Indigenization, anti-oppression, and/or community-based research in community settings.
  • Intermediate knowledge of diverse 2SLGBTQQIA+ community health issues and perspectives, including by way of lived experience.
  • Excellent computer skills and proficiency in Microsoft Office and online collaborative platforms such as Google workspace as well as proven ability to learn and adapt to new software tools.
  • Basic knowledge of research activities and processes (such as research ethics, data stewardship and management, and knowledge translation).
  • Strong interpersonal, problem solving and planning skills (including capacity to prioritize tasks under tight deadlines).
  • Strong communication skills, with the ability to summarize information appropriate to varying audiences.
  • College diploma or certificate in office administration, or equivalent. A combination of experience and training will be considered.

Other Competencies & Qualifications (assets):

  • Formal education in related fields (social sciences, arts, and humanities) is an asset.
  • Knowledge of Indigenous research methodologies and experience working with Indigenous Two-Spirit communities.
  • Awareness of 2SLGBTQQIA+ social, cultural, and political values and sensitivities.
  • Experience using project management tools or approaches.
  • Experience with tracking expenses, budgets or bookkeeping.
  • Autonomous worker with an ability to adapt and work within a dynamic and complex team setting.
  • Ability to interact professionally and effectively with partners and individuals from varying sectors including academic, government and community based-organizations.
  • French language capacity (written and spoken) is an asset.
  • Excellent communication skills including writing and/or editing documents.
  • Capacity to prioritize tasks and function under tight and/or competing deadlines.
